This Privacy Policy applies to the JollyBee mobile app and website. JollyBee provides community-management services to members, community owners and partner businesses. This policy explains what personal information we access and collect, how we use and share it, and the choices available to you. Communities also collect and process information about their members when providing their own services.

Information we collect

  • Account identity: email, name, phone (optional), and the password you choose.
  • Cross-community demographic information you add to your JollyBee profile, including shared fields and sport-federation licences.
  • Per-community information you provide or generate when using a community's services. Access depends on the feature, authorised roles and sharing settings.
  • Location data when you grant permission or provide a location yourself, including approximate or precise device location, recorded routes, and visits to community locations or partner venues, as explained below.
  • Operational logs, IP address, and user agent for security and abuse prevention.

How we use it

We use this information to authenticate you, deliver the services you've signed up for, keep the platform safe, and communicate with you about your account. Communities you join can see the information you've shared with them; the platform itself does not sell personal information.

Location data and how we use it

With your device permission, JollyBee accesses approximate or precise location (latitude and longitude). Route recording also collects timestamps and, where available, altitude, speed and location accuracy. Bluetooth beacon detection can identify that you are near a particular community location or partner venue. The location features you use determine which information is processed:

  • Nearby discovery and maps: show your position and help you find nearby communities, events and partner venues. You can also provide a location for your profile or a community listing.
  • Route recording: record a ride, walk or tour you start, display its route, and calculate distance, duration, speed and elevation. You can choose to save the route to a community, export it or share it.
  • Automatic check-in and community activities: detect entry to or departure from a configured area to record attendance, support session check-ins and reminders, and record progress through trails or checkpoints.
  • Partner rewards: recognise visits to participating venues for loyalty activities and rewards.
  • Nearby offers: use arrival at or departure from a configured area, or proximity to a Bluetooth beacon, to deliver relevant community or partner offers and promotional notifications when you enable this feature.

Background location

JollyBee collects and uses location data in the background, even when the app is closed or not in use, to support the background location features you enable and permit on your device. These include automatic check-in, partner rewards, session reminders and nearby offers based on entering or leaving a configured area. With background route recording enabled, a recording you start can continue while you use another app or your screen is locked.

Area monitoring reports entry and exit events rather than continuously uploading a GPS route to JollyBee. A continuous route is recorded when you start a route recording. Android displays a foreground-service notification while background route recording is active. Bluetooth beacon scanning takes place while the app is in the foreground.

How location information is stored and shared

  • On your device: the app keeps your last retrieved location and a local backup of an active route recording so it can be recovered after an interruption.
  • With JollyBee and your community: entry and exit reports identify the area or beacon and are linked to your membership. Area reports can include the configured area's coordinates. We store check-in and activity records on our servers; authorised community administrators can use these records for attendance, community activities, rewards and offers.
  • Routes you publish or share: saving a recording to a community uploads its route coordinates to JollyBee. Routes saved this way are public and downloadable by default, so others can see the places along your route. Exporting or sharing a route or route image also reveals location information to the recipients or audience you choose.
  • Map services: JollyBee uses Mapbox to display maps and create route images. Map requests send information such as the requested map area, IP address and device information to Mapbox. Creating a route image for a feed post sends sampled route coordinates to Mapbox. Its mobile map software can also receive device location and usage information when location access is permitted, for providing and improving its services. See the Mapbox Privacy Policy.
  • Service providers: hosting, database and notification providers process information needed to store these records and deliver location-related services and messages. JollyBee does not sell your personal information, including your location data.

Your location choices

Location features are optional. You can manage them in the app under Settings → Location, and change or revoke location and Bluetooth permissions in your device settings. Denying permission limits the features that depend on it; you can still use other parts of JollyBee. Use Pause, Stop or Discard on the route-recording screen to end an active recording's location updates. Turning off a feature or revoking permission does not delete records already saved or shared.

Security and retention

The app sends information to JollyBee's production services over encrypted HTTPS connections. We use authentication and access controls to restrict access to account and community records. Routes and other content you publish are accessible according to their sharing settings.

Saved routes, check-ins and related activity records remain stored to provide route, attendance and activity history, subject to applicable deletion requests and community retention settings. There is no single automatic expiry period for all location records. Deleting a route in the app archives it rather than permanently erasing its stored coordinates. You can request deletion of location information linked to your account using the contact details below or our account deletion page. Some transaction, attendance or compliance records may need to be retained for legal or security reasons. When handling your request, we explain what is retained, why, and for how long, and whether personal details can be removed or anonymised. Uninstalling the app does not delete records held by JollyBee or copies you have shared with others.

Your rights

You can update your JollyBee profile from your profile page. To request deletion of your account and associated personal data, visit our account deletion page. It explains how to send a request without signing in, how we verify ownership, and what to expect if any records must be retained.
